Estimate Collaboration

Estimate Collaboration allows a claim rep/adjuster who is not the assignee to perform work on a returned estimate without changing the ownership (assignee). When an estimate has been checked out for collaboration, only the collaborator may do work on the estimate. For other types of collaboration, see Video Collaboration and Contents Collaboration.

You must have the XactAnalysis Collaborator user application right to collaborate on an assignment. You must have the XactAnalysis Collaboration Admin user application right to assign collaborators. See User Administration for information about adding rights.

Add collaborators

  1. Access the user's User Administration page. Confirm that the user has the Collaborator application right. See User Administration for more information about setting up rights.
  2. In the XactNet Addresses section, select Add XactNet Address.
  3. In the XactNet Address Search dialog box, enter the name, XactNet address, or email address of a claim rep / adjuster, and click Find. Click Cancel to exit without searching.
A claim rep/adjuster must have the collaboration tool turned on to be added as a collaborator.
  1. The XactNet Address Results dialog box appears. To add a claim rep/adjuster as a collaborator, select the claim rep/adjuster’s XactNet address. To search again, click Back.
  1. The claim rep/adjuster’s XactNet address appears under XactNet Addresses. Repeat to add more collaborators.

You can search for estimates by Collaboration Status using Search.

Assign a collaborator and monitor the collaboration

From Assignment Detail, you can assign a collaborator and see when the collaboration is complete.

  1. Select a returned estimate, and look at the Assignment Detail page. Under Workflow Status, go to Collaboration Status and select Assign Collaborator.
  1. In the Select a Collaborator dialog box, click the Claim Rep / Adjuster SmartList button.
  1. In the Search for a Collaborator dialog box, enter search criteria and click Submit or use the A-Z index to find a collaborator.
  1. Select the XactNet Address of the claim rep/adjuster you would like to assign to the collaboration. 
  2. The name appears in the Claim Rep / Adjuster field in the Select a Collaborator dialog box.  Enter a reason for this collaboration in the Reason for Collaboration area and click Submit.
  3. A confirmation dialog box appears. Click Close.

In the Details tab, the Collaboration Status is updated to In Progress, and the collaborator information appears.

When the estimate has been assigned to the collaborator (when the Collaboration Status is "In Progress") only the collaborator may do work on the estimate.

After the collaborator has completed the estimate and uploaded it back to XactAnalysis®, the Details tab will show the date and time the collaboration was completed along with the amount of the corrected estimate.

  • To view the changes in the estimate, go to the Documents tab and look under Most Recent Uploaded Documents.

When the collaboration is complete, if the original assignee (the adjuster or contractor) needs to upload additional work or corrections, they should work on the collaborated estimate, not the original.
